Most Kenyan sellers start on personal WhatsApp because that is where the first customer messaged them, and stay there because moving sounds like it risks the contact list. The move is safer than it looks — but there is one step that, skipped, genuinely does cost you customers.

Why bother at all
WhatsApp Business is free and does strictly more. What you gain:
- A catalog — prices and products visible without you typing them.
- Quick replies — your three most-asked answers, two taps away.
- Labels — an order pipeline: New Order, Paid, Shipped, Delivered.
- Away messages — so a 2am enquiry gets an answer.
- A business profile — hours, delivery areas, what you sell. What a stranger reads before deciding you are real.
There is no downside worth the delay. The app is free, and the only real cost is the thirty minutes below.
Option A: keep your number, convert the account
This is the right choice for most sellers already trading from a personal number, because every customer already has it and nobody has to be told anything.
The constraint to understand first: one number runs one account. You cannot have personal WhatsApp and WhatsApp Business on the same number at the same time — running both apps on one device needs two separate numbers, which realistically means a dual-SIM phone. Converting means that number becomes your business account, full stop.
The migration, in order:
- Save every customer to your phone contacts. See the next section — do not skip this.
- Back up: Settings → Chats → Chat backup → Back up. Let it finish.
- Install WhatsApp Business. Do not delete personal WhatsApp yet.
- Open it, enter the same number. It detects the existing account and offers to migrate.
- Choose Restore backup. Chats, photos, videos and audio come across.
Meta built this path deliberately, so it works — provided the backup in step two actually completed. Check that it did before you proceed.
The trap: contacts that live only in WhatsApp
This is the one thing that genuinely costs sellers, and almost nobody warns about it.
Over months of trading you accumulate people you have chatted with but never saved to your phone's address book. They exist to you as a WhatsApp thread and nothing else. Those contacts may not carry over cleanly.
For a seller, that list is the business. It is every past customer, every person who enquired and might return, and the entire audience for your Status posts.
Before you start anything: go through your chat list and save anyone who has bought from you or asked about a product. Give them a name you will recognise — "Grace scarves Kilimani" beats a bare number. It is a boring hour and it is the difference between migrating and starting over.
Worth doing even if you never migrate. If your phone is lost tomorrow, unsaved WhatsApp contacts go with it.
Option B: a separate business number
Take a new line if you want personal and business genuinely apart — no customer messaging you at 11pm on the number your family uses, and the ability to hand the business phone to someone else later.
The cost is that your customers have the old number, and moving them takes weeks rather than minutes.
Migrating without losing people:
- Overlap for four to six weeks. Keep the old line answering. Abrupt switches lose customers; gradual ones do not.
- Announce on Status several times. Once is not enough — people miss Status.
- Set an away message on the old number giving the new one, so anyone arriving late is redirected automatically.
- Update everywhere the old number appears: Instagram bio, Facebook, business cards, group posts, your site.
- Message your best customers individually. The twenty who matter most should hear it directly, not from a Status.
And save the contacts first here too — you are going to need to reach them from the new line.
Three things to do straight after
- Fill in the business profile properly. Name, one line on what you sell, hours you actually reply, delivery areas. A blank profile reads like a stranger's personal number.
- Build the catalog with prices. A catalog without prices generates exactly the DMs it exists to prevent. Full setup in the WhatsApp selling guide.
- Sort out payments while you are at it. If you are still taking money on a personal M-Pesa number, activate Pochi la Biashara — business funds separate from personal, and payments that cannot be reversed without your approval. See taking payments without a Till.
One clarification worth making, because the names confuse people: WhatsApp Business the free app is not the WhatsApp Business Platform API. The API bills per message and is for automated outbound at volume — see app vs API vs checkout. A shop needs the free app.
The short version
- One number, one account. You cannot run personal and Business on the same number.
- You can convert your existing number and keep every chat — back up first, then Restore.
- Save WhatsApp-only contacts to your phone book before migrating. They may not survive.
- New number instead? Overlap four to six weeks, announce repeatedly, away-message the old line.
- Then: profile, catalog with prices, and Pochi for payments.
